These terms govern your use of the Residoc platform and website at residoc.co.uk. By accessing or using Residoc, you agree to these terms. If you are agreeing on behalf of an organisation, you confirm that you have the authority to bind that organisation.
To use the platform, your organisation must register for an account. You agree to provide accurate information during registration and to keep your account details up to date.
Each user must have their own individual account. Sharing login credentials between staff members is not permitted. You are responsible for all activity that occurs under your organisation's accounts.
New organisations may be offered a free 30-day pilot. During the pilot you have full access to the platform, including all document types, voice input, and PDF generation, for up to 5 staff accounts.
At the end of the pilot period, you may subscribe to a paid plan to continue using the platform. If you do not subscribe, your account will be deactivated. We will retain your data for 90 days after deactivation, during which time you can request a full export. After 90 days, all data is permanently deleted.
Paid subscriptions are billed per resident per month. You can choose monthly or annual billing. Annual billing is paid upfront for 12 months and includes a discounted rate.
You can add or remove residents at any time. Added residents are billed from the date of activation. Removed residents remain active until the end of the current billing period.
All prices are in GBP and exclusive of VAT where applicable. We reserve the right to change pricing with 60 days written notice. Price changes do not apply to active annual subscriptions until the renewal date.
You own your data. All documents, resident records, and organisational data entered into the platform belong to the provider. Residoc does not claim any ownership over your content.
You can export your complete data at any time as structured ZIP archives. On account termination, we provide a final data export and delete all data within 90 days.

When you use Residoc to process resident personal data, your organisation acts as the data controller and Residoc acts as the data processor under UK GDPR. A Data Processing Agreement (DPA) is available on request and forms part of these terms for all customers handling personal data through the platform.
You agree to use Residoc only for its intended purpose: creating and managing documentation for supported housing services. You must not:
We reserve the right to suspend or terminate accounts that violate these terms.
Residoc uses artificial intelligence to rewrite worker responses into professional language and to assist with document completion. The AI processes only the information provided by the user during each session.
While we take care to ensure the AI produces accurate and appropriate output, the user is responsible for reviewing all generated content before finalising a document. Residoc provides a live preview of all fields so that users can correct any errors before the document is completed and signed.
AI-generated text is not a substitute for professional clinical judgement. The platform assists with documentation, not with care decisions.
We aim to keep the platform available at all times but do not guarantee uninterrupted access. Scheduled maintenance will be communicated in advance where possible.

The Residoc platform, including its design, code, branding, and documentation, is owned by Residoc and protected by copyright and other intellectual property laws. Your subscription grants you a non-exclusive, non-transferable licence to use the platform for the duration of your subscription.
Documents generated through the platform belong to the provider. The Residoc name, logo, and branding remain our intellectual property.
To the maximum extent permitted by law:
Nothing in these terms excludes or limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
You can cancel your subscription at any time by contacting us. Monthly subscriptions end at the close of the current billing period. Annual subscriptions run until the end of the 12-month term and are not refunded for early cancellation unless required by law.
We may terminate your account with 30 days notice if you breach these terms. In urgent cases (security threats, illegal activity), we may suspend access immediately.
On termination, we will provide a data export and delete your data in accordance with our Privacy Policy.
We may update these terms from time to time. Material changes will be communicated to active customers by email at least 30 days before they take effect. Continued use of the platform after changes take effect constitutes acceptance of the updated terms.
These terms are governed by the laws of England and Wales. Any disputes arising from these terms or your use of the platform will be subject to the exclusive jurisdiction of the courts of England and Wales.
